The Norfolk office of Kaufman & Canoles is seeking a Benefits Paralegal. Exceptional verbal and written communication skills and the ability to exercise a high degree of confidentiality and discretion are required.   Under the supervision and direction of attorneys, performs a variety of paraprofessional duties.  Gathers information from a range of sources.  Maintains detailed and accurate daily billable hour records.  Manages individual case files, prepares various legal documents, and regularly interacts with clients and attorneys.

RESPONSIBILITIES:

  1. Prepare excel spreadsheets to reflect financial outcomes for Feasibility reports and transactions.
  2. Draft and amend individually designed and pre-approved benefit plans (including 401(k) plans, ESOPS, defined benefit plans, cafeteria, and welfare plans), and summary plan descriptions, forms, QDROs and other ancillary plan documents for qualified plans. 
  3. Prepare and manage submissions to the IRS and DOL filings.
  4. Prepare spreadsheets for various aspects of retirement plan set up, projections, and feasibility.
  5. Prepare and review due diligence plan documents in connection with mergers, acquisitions, stock sales and asset sales of subsidiaries or divisions. 
  6. Prepare board resolutions and unanimous written consents.  
  7. Assemble transaction documents for various purchases and plan set-ups.
  8. Prepare annual Form 5500 filings for defined contribution and welfare benefit plan sponsors and assist plan sponsors in the correction of missed or incomplete filings.
  9. Maintain detailed and accurate daily billable hour records.  [Full time Billable Paralegals are generally expected to bill 1550 hours per year to client matters]. 
  10. Prepare closing binders following commercial transactions.
  11. Organize reports, correspondence and memoranda of law and other documents.
  12. Interact with clients in person, over the telephone and via email.

 QUALIFICATIONS:

  1. Minimum of four or more years’ experience or equivalent work and educational experience. Employee benefits experience preferred.
  2. B.A. in Paralegal Studies or Paralegal Certificate is beneficial but not mandatory.  
  3. Ability to perform legal research using reference materials generally available within a law library and/or electronic resource tools.
  4. A strong proficiency in the use of Microsoft Office software, particularly in Excel, and specialty-related software such as FIS Relius, Tvalue5, and a typing level of 50 WPM.
  5. Capability to deal effectively with clients, attorneys and co-workers. 
  6. Ability to manage multiple tasks, meet deadlines, and organize and prioritize workload.
  7. Exceptional verbal and written communication skills.
  8. Strong organizational skills and attention to detail.
  9. Self-motivated, able to perform job duties independently and discreet.

Computer Support Technician

RESPONSIBILITIES:

Kaufman & Canoles is seeking a qualified Computer Support Technician for our Norfolk office. The Computer Support Technician assists staff and attorneys with the tools needed to maximize productivity when working with firm technology. He or she is responsible for providing users with technical support, moving and repairing equipment in all office locations, and assisting with the routine maintenance of the Network.

QUALIFICATIONS:

Ideal candidate will be experienced with support desk operations including opening, resolving, and follow-up of support calls. Excellent written and oral communication skills, outstanding client service attitude, proficiency with MS Office 2016, Windows 7/8/10 and basic network concepts a must. High school diploma or equivalent required. College degree with coursework in information systems or equivalent with Microsoft Office Specialist certifications in Word and Excel preferred. Law Firm experience preferred. Minimum two years of hands-on experience with PC hardware, Windows 10, enterprise operating system, and software support in a structured employee service technology position.

Kaufman & Canoles Family Law practice seeks an experienced Legal Assistant to perform a variety of administrative duties in support of attorneys. Candidates must possess a minimum of three years' relevant work experience, proficiency in Microsoft Office 2010, and typing skills at a level of 65 WPM. The ability to establish and maintain effective working relationships and excellent interpersonal and communication skills are essential.

RESPONSIBILITIES:

1. Delivers superior client service and acts as liaison between clients and the attorneys by maintaining continual communications via email, telephone, and in person. 
2. Follows up with clients regarding status of cases, appointments, billing, etc.
3. Prepares routine correspondence, form pleadings, discovery documents, reports, and other documents.
4. Arranges and schedules client appointments, meetings, and conference calls.
5. Maintains files and sub-files.
6. Creates binders to organize and index all documents for a particular case.
7. Prepares and sends billing statements monthly.
8. Inputs timekeeper data.
9. Performs a variety of other administrative tasks as assigned.

QUALIFICATIONS:

1. High school diploma or equivalent required.
2. Minimum of three years’ relevant work experience with family law or litigation background preferred.
3. Proficiency in Microsoft Office 2010 and document management software; typing at a level of 65 WPM.
4. Operational knowledge of standard office equipment including copier, scanner, telephone, and dictation equipment.
5. Demonstrated understanding of legal terminology.
6. Exceptional organizational skills and the ability to multi-task, prioritize competing responsibilities, and meet tight deadlines.
7. Proven meticulous attention to detail and proofreading skills.
8. Strong oral and written communication skills and the ability to maintain strict confidentiality.

Family Law Legal Assistant

Conference Center Assistant

The Norfolk office of Kaufman & Canoles seeks a Conference Center Assistant to assist the firm staff with all services, ensuring all staff needs and requests are met and accurately delivered in a timely manner. Candidates should posses exceptional organizational skills, meticulous attention to detail and ability to work independently.

RESPONSIBILITIES:

  • Work Monday through Friday 7:30 a.m. – 4:30 p.m., with an hour for lunch. Overtime required when meetings begin before 8:00 a.m. and occasionally after 5:00 p.m.
  • Set up meals and beverages in conference rooms, stock and clean kitchens and pantries daily, stock kitchen supplies, maintain a clean atmosphere in all conference rooms, office dustings/cleanings as needed, continually check email and the conference room schedule on the computer, navigate the firm Intranet for necessary information, and assist with any other duties as assigned by supervisor.
  • Backfill and assist the receptionists as needed: make copies and send scans; greet clients, answer phone calls, inform attorneys when clients arrive, order lunches, open and close the reception area during absences, make conference room reservations, validate client parking, etc.
  • Performs a variety of other administrative tasks as assigned including covering the front desk as a backup to the receptionist.

QUALIFICATIONS:

  • High school diploma or equivalent required.
  • Demonstrated meticulous attention to detail.
  • Exceptional organizational skills with the ability to multi-task and meet tight deadlines.
  • Operational knowledge of standard office equipment including copier, scanner, and telephone.
  • Able to work overtime as needed.

PHYSICAL REQUIREMENTS:

  • Ability to walk significant distances (on your feet the majority of the day, with ability to sit in between conference room set-ups/cleaning and when covering the reception desk).
  • Ability to bend, kneel, and stand.
  • Ability to lift and carry up to 25 lbs.
  • Must be able to verbally communicate, read, and listen.
  • Must have visual acuity.
  • Must have fine and/or gross motor skills including the ability to grasp, lift and/or carry or otherwise move items on a standard hand truck and/or drink cart with a load capacity of 30-50 lbs.

REQUIRED COGNITIVE AND PSYCHOSOCIAL CHARACTERISTICS:
