The Virginia Beach office of Kaufman & Canoles is seeking a part-time Administrative Clerk.

The Virginia Beach office of Kaufman & Canoles is seeking a part-time Administrative Clerk. Under general supervision provides general office support with a  variety of administrative and related tasks. Responsible for answering incoming calls , directing calls to the appropriate personnel, setting up and cleaning up conference rooms, kitchen organization and cleaning, supply inventory and stocking, processing outgoing postal mail, sorting inter-office and incoming postal mail, completing check requests, accepting payments from clients, supporting the attorneys with various task such as time sheets, pleading indexes, folder labels, copies/prints and other duties as assigned. Maintains positive contact with attorneys, support staff and clients; observes confidentiality of client and firm matters. Candidates should be proficient in Microsoft Office 2010, have excellent communication and writing skills and exhibit attention to detail.

RESPONSIBILITIES:

  • Working hours are 12:30 – 5:30.
  • Primary responsibility is covering the front desk as a backup to the receptionist.
  • Pick-up postal mail from Post Office before the start of each shift.
  • Review, sorts and dates mail.
  • Deliver courier runs to local courts and offices as needed.
  • Operate standard office equipment, including personal computer, copier, scanner, and telephone.
  • Assist in the preparing for and setting up meetings.
  • Cleaning and inventory of kitchen areas, conference rooms and supply areas.
  • Assist in filing, closing files, creating legends, and making copies for attorneys.
  • Act as point of contact for Facilities/HR with various tasks (to include cleaning).  
  • Perform a variety of other administrative tasks as assigned.

QUALIFICATIONS:

  • Legal industry experience preferred.
  • High school diploma or equivalent required.
  • Previous client/customer service is a plus.
  • Exceptional written and oral communication skills.
  • Excellent organizational skills, strong ability to multi-task and attention to detail.
  • Demonstrate proactive approach to problem-solving with strong decision-making capability. 
  • Operational knowledge of standard office equipment including copier, scanner, and telephone.
  • Proficient in Microsoft Office 2010 and Outlook.
  • Ability to routinely lift, carry, push, pull, slide materials weighing up to 25 lbs.
  • Personal vehicle and valid driver’s license.

The Norfolk office of Kaufman & Canoles seeks a qualified Legal Assistant to perform a variety of administrative duties in support of Labor and Employment Attorneys. Candidates must possess a minimum of three years' relevant work experience, proficiency in Microsoft Office 2010, and typing skills at a level of 65 WPM. The ability to establish and maintain effective working relationships and excellent interpersonal and communication skills are essential.

RESPONSIBILITIES:

  • Delivers superior client service and acts as liaison between clients and the attorneys by maintaining continual communications via email, telephone, and in person.
  • Follows up with clients regarding status of cases, appointments, billing, etc.
  • Serves an important role by handling potential clients in a confident, professional manner and with a high level of comfort.
  • Works effectively in a team environment with primary attorneys and legal assistants and, at times, with other attorneys.
  • Prepares routine correspondence, forms, agreements, employee handbooks, letters, and other related documents.
  • Maintains attorneys’ calendars; schedules and follows up on all appointments (i.e., courts, clients, case work, and potential clients).
  • Responsible for ensuring timely filing with the courts and assisting attorneys in preparation for court appearances. Maintains court schedule and other case deadlines.
  • Opens, organizes, maintains, and closes paper and electronic client files.
  • Creates binders to organize and index all documents for a particular case.
  • Prepares and sends billing statements monthly.
  • Inputs timekeeper data.

QUALIFICATIONS:

  • High school diploma or equivalent required.
  • Minimum of two years’ labor and employment law experience in a professional office setting or a combination of relevant work and educational experience.
  • Some litigation experience beneficial.
  • Some familiarity with employment law and its legal terminology.
  • Proficiency in Microsoft Office 2010, time and billing software, dictation/transcription software, and document management software. Typing at a level of 65 WPM.
  • Exceptional verbal and written communication skills and the ability to be at ease when dealing with potential clients.
  • Ability to establish and maintain effective working relationships with clients, potential clients, attorneys, co-workers, and other outside professionals.
  • Ability to work successfully within a team environment.
  • Operational knowledge of standard office equipment including copier, scanner, and telephone.
  • Exceptional organizational skills with the ability to multi-task and meet tight deadlines.
  • Proven meticulous attention to detail and proofreading skills.
  • Demonstrated proactive approach to problem-solving with strong decision-making capability.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of client service and response.
